User Account Settings

Every user account in TreeKeeper (including the guest account) will have several settings to configure allowing access to system features and setting user preferences.

System Settings

First, we’ll start off with system-wide user settings:

These are top-level settings and will override any layer-specific settings referenced further below.

If a user cannot access any expected data on the map or in the Search Panel, chances are their Layer Access Rights need adjusted, which is located just below Security Level.

Security Level

An important step in managing a user’s account is setting the system-wide security level. Each of the different security levels in TreeKeeper are defined below.

Guest

A guest account would be the same as the default view of TreeKeeper when a user has not logged in. This user has no ability to edit inventory data and has restrictions on what data and layers are available to be viewed.

Typically, guests can only see the main sites layer, the City Limits layer, and the Parks layer if there is one. The only data guests typically have access to are non-sensitive attributes that, if knowledgeable enough, they could physically go to the site and find for themselves. This includes address information, species, DBH, height, and sometimes other geographic data like Park Name.

To add or remove attributes/layers from guest access, please contact TreeKeeper Support.

Read Only

Like Guest, the Read Only security level does not give a user the ability to edit data. However, it does allow them to view all data in the system, including more sensitive fields like Condition and Risk.

Edit

An edit-level user can view all data, edit all editable attributes, and add/delete sites. The only significant difference between an edit and an administrator user is that the edit-level user does not have access to the Administration Center.

Administrator

The Administrator security level not only gives a user the ability to edit inventory data, but also gives them the ability to manage several additional aspects of the TreeKeeper system. They can add, edit, and remove values from list-type fields, as well as add, edit, and delete users.

Administrator accounts also have the authorization to request changes to the TreeKeeper system from TreeKeeper Support.

Contractor

The Contractor is a unique user account type that is only permitted to edit certain work record fields on work records that are assigned crews they are a member of.

A Contractor can be assigned crew(s) at the very bottom of the Edit User form after selecting the Contractor security level.

In order for the contractor to be able to edit work records, the Access Rights for the layer must be set to “Edit” as shown below.

By default, Contractor accounts cannot make site edits. However, a Contractor can be assigned Rules that can be applied to sites. This allows an Administrator to fully control exactly what a Contractor can or cannot edit at both the site and work record level!

Layer Access Rights

This section allows you to set access rights and privileges to each data layer individually.

Access Rights

Rights for each layer can be set to a few different levels:

  • No Rights – User will not be able to see this data layer or access the information.

  • Read Only – User will only be able to view sites in this data layer.

  • Edit – User will be able to view and edit sites in this data layer.

Layer User Privileges

Once you have set the access rights for each layer you have a few additional privileges that you can adjust.

Groups

The Groups section is a convenient place for administrators to adjust which Groups a user belongs to.

While Group assignments can be set for an individual user in this seciton of their account settings by checking the ‘Member’ box (see below), you can more efficiently assign users to groups in the Group Management section of the Admin Center.

If you are looking for view/edit options related to system attributes (present in all TK systems) by user level (i.e. Guest, Read Only, Edit, Administrator, Contractor), see Permission Management.
